Project Management
We manage a range of fit-out and infrastructure projects which include both minor refurbishments and major upgrade works. A major project may involve full unit refurbishment, M&E upgrades, or compliance-related improvements.
Projects can be scheduled year-round and typically vary in size and duration depending on scope. Some may be delivered in phases to suit operational requirements, while others are intensive short-term installations.
Our project managers coordinate teams of directly employed operatives and specialist subcontractors. Most projects are completed overnight or during airport off-peak hours, in line with the customer’s requirement to minimise disruption to trading and passenger flow.
What does the project manager do on site?
The project manager oversees all aspects of delivery, including access arrangements, material handling, and health and safety compliance. They may meet the site team at a pre-agreed time, carry out toolbox talks, review RAMS (risk assessments and method statements), and ensure the team is clear on the night’s objectives. They walk the site to check progress and quality, coordinate works with other trades, and act as the main point of contact for both client and airport operations.
Daily updates, photos, and progress reports are logged and shared, and any emerging risks or issues are escalated promptly. Their role is to keep the project on schedule, on budget, and in full compliance with airport standards and retailer expectations.
Reactive Projects
Sometimes unplanned projects arise, such as emergency repairs, health and safety compliance work, or unforeseen structural issues. These require immediate project coordination and rapid deployment of a team. The client provides the required response timeframe or SLA (service level agreement).

We log the request in our system and notify airport systems such as World Duty Free’s “Concept” platform. A project lead or site supervisor is assigned, and a site inspection is arranged. If the issue can be resolved with immediate labour and materials, it will be. If not, further planning or approval is required.
Quoted Works
Chilled Solutions prepares a detailed quotation outlining the scope, materials, labour hours, and any additional items such as airport security pass charges or out-of-hours permit costs.
Once the client approves the quotation and raises a PO (purchase order), this acts as confirmation to proceed. We then procure materials, plan contractor schedules, and liaise with stakeholders to agree a delivery window. As with maintenance works, most projects are delivered overnight unless emergency access is granted for daytime works by the airport authority.
